This Privacy Notice for Formula 18 Golf ("we," "us," or "our") describes how and why we might access, collect, store, use, and/or share ("process") your personal information when you use our services ("Services"), including when you:
  • Visit our website at https://formula18golf.com or any website of ours that links to this Privacy Notice
  • Download and use our mobile application (Formula 18 Golf) or any other application of ours that links to this Privacy Notice
  • Use Formula 18 Golf. Formula 18 Golf is a golf trip and event management platform available through both a website at formula18golf.com and an iOS mobile application (collectively, the "Service"). The Service helps recreational golfers organize, pay for, play, and track group trips, tournament events, and solo rounds.

    The Service provides the following features:

    — Solo round tracking. Players log rounds as they play — hole-by-hole scores, putts, fairways hit, and greens in regulation. The Service automatically computes score-to-par, handicap differential, and playing handicap using USGA Handicap System formulas.

    — Golf trip organization. Trip coordinators create multi-round trips, invite players by email, manage a roster, build tee-time pairings, record lodging and cost details, and communicate with participants through in-app chat that syncs in real time between web and iOS.

    — Tournament events. Commissioners schedule tournaments, process player registrations, run live hole-by-hole scoring, display real-time leaderboards, and compute payouts for games such as skins, closest-to-pin, and longest drive.

    — Payments through Stripe. Formula 18 Golf does not move money between players, Coordinators, or golf courses. The Service is a tracking tool: Players and Coordinators handle entry fees and trip costs between themselves however they choose. The only transactions Formula 18 processes directly are Coordinator and Commissioner subscription fees, handled through Stripe on the website.

    — Commissioner subscription. Commissioners pay an annual subscription fee for unlimited events, or a per-event fee if they prefer. Coordinators pay a per-trip fee after their first trip. Players are free during launch; a Player subscription is planned for a later phase.

    — Optional USGA GHIN integration. Players may link their USGA GHIN number to import a current handicap index. Automatic posting of completed rounds back to the USGA is on our roadmap for a future release — it is not active today.

    — Group chat and notifications. Each trip or event includes a shared chat channel. Users receive transactional email (invitations, reminders, recaps, payout notices) and may opt into recurring product communications such as weekly round reminders.

    — Accounts and roles. The Service recognizes four roles: Player, Trip Organizer, Commissioner. Each role is granted different permissions regarding event creation, payment configuration, moderation, and administrative access.

    Where each surface is used:
    — Website (formula18golf.com) — used by all roles; primary surface for account registration, payment, trip/event setup, and administration.
    — iOS application — used primarily for in-round scoring, group chat, trip check-in, and solo round tracking. Subscription management and payment flows are handled on the website.
  • Engage with us in other related ways, including any marketing or events

In Short: We collect personal information that you provide to us.

We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.

Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:

Sensitive Information. We do not process sensitive information.

Payments and Stripe. Formula 18 Golf does not collect, process, or store payment card data. All payment card information (including card number, expiration date, CVV, and billing address) is collected and handled directly by Stripe, Inc., our payment processor. When you make a payment, the information flows from your device to Stripe's servers and never passes through Formula 18 Golf's systems.

Formula 18 Golf retains only non-sensitive transaction metadata returned to us by Stripe, such as:
  1. The last four digits of the card used
  2. The transaction amount and currency
  3. Success or failure status
  4. Stripe transaction and payout identifiers
  5. The date and time of the transaction
We use this metadata to display your payment history in your account, reconcile Commissioner payouts, resolve disputes, and meet tax and audit obligations. We do not receive, store, or have the ability to reconstruct full payment card numbers or CVV codes.

Formula 18 Golf does not route player entry fees or trip costs through our systems — those payments are settled between players and their Coordinator directly, outside the Service. The only payments we process through Stripe are Coordinator and Commissioner subscription fees. Your payment data is subject to Stripe's own privacy policy, available at stripe.com/privacy.

Application Data. If you use our application(s), we also may collect the following information if you choose to provide us with access or permission:
  • Geolocation Information. We may request access or permission to track location-based information from your mobile device, either continuously or while you are using our mobile application(s), to provide certain location-based services. If you wish to change our access or permissions, you may do so in your device's settings.
  • Push Notifications. We may request to send you push notifications regarding your account or certain features of the application(s). If you wish to opt out from receiving these types of communications, you may turn them off in your device's settings.
This information is primarily needed to maintain the security and operation of our application(s), for troubleshooting, and for our internal analytics and reporting purposes.

All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.

We may use cookies and similar tracking technologies (like web beacons and pixels) to gather information when you interact with our Services. 9. CONTROLS FOR DO-NOT-TRACK FEATURES

Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online.

11. SPECIFIC TO FORMULA 18 GOLF

  • Scores and handicaps are for your own tracking. Formula 18 computes handicap differentials using USGA formulas, but we don't certify your handicap. For an official handicap, link your GHIN number or post rounds with the USGA.
  • Course data comes from third parties. Ratings, slope, yardage, and par come from sources like the USGA course database. We keep it as current as we can, but verify with the pro shop before relying on it for tournament play.
  • Payout calculations are a tool, not a ruling. If a skins, closest-to-pin, or other game result seems off, the Commissioner has final say. Disputes go to your Commissioner — not to Formula 18.
  • Formula 18 does not hold trip or event funds. Player payments route directly through Stripe to the accounts the Commissioner has connected (course, Commissioner, games pool). Refund decisions are between you and the Commissioner.
  • Trips and events happen at the Commissioner's discretion. Cancellations, postponements, weather calls, lodging arrangements, and tee-time reservations are the Commissioner's responsibility. Formula 18 provides the software — not the logistics.
  • The games pool is an accounting tool, not a trust account. Skins, CTP, and side-bet tracking show who owes what. The Commissioner is responsible for actual payout.
  • Features may evolve. Some features (Formula Buddy, per-hole stat tracking, notification preferences) are being refined. We may add, change, or remove functionality without notice.
  • Chat content is stored. Messages sent through Formula 18's trip and event chat are saved for delivery and moderation. Don't send sensitive personal, financial, or health information through chat.
  • Email communications. You'll receive transactional email (invites, recaps, payout notifications) as part of using the Service. Product emails (like weekly round reminders) are opt-out via unsubscribe links.

In Short: Yes, we will update this notice as necessary to stay compliant with relevant laws.
